Invitation to Exhibit

On behalf of the Kansas City Regional Procurement Exposition (KCRPE), it is our pleasure to invite you to participate in the 2014 KCRPE Vendor Exposition to be held Wednesday, October 8, 2014, in Independence, Missouri. 

Again this year, ALL registrations for the event will be completed online at www.macpp.org. This will give you the opportunity to pay with your company’s credit card (Visa, MasterCard, or Discover) or elect to pay by check as you have in the past.

This bi-annual conference will attract approximately 150 procurement professionals throughout the region. This is a great opportunity to meet and identify new agencies, build new customer relationships and cultivate old ones. 

The first day of the conference, Wednesday, October 8, 2014, will be dedicated solely to the Vendor Exposition!  Vendors will be allowed to set up, starting at 8:00 A.M. and must be finished by 12:00 Noon. The official opening of the Exposition will be at 1:00 P.M. and will be open until 4:00 P.M.  All exhibitors are welcome to invite existing and prospective customers to visit your booth that may not be a part of the Conference delegate list.  

Delegates and Vendors will receive an electronic “thumb drive” Desk Reference Guide which will include a list of the Exhibiting Vendors and the Delegate Attendees.  Please be sure to complete all sections of the online registration/contract at www.macpp.org as this information will be listed in the electronic Desk Reference Guide.  

The 2014 KCRPE Conference /Vendor Expo is already generating much excitement, and past Exhibitors are already eager to sign up. Exhibit Booth Cost:

1st Booth, $525, with early bird fee of $500 (if rec’d by May 31, 2014 and paid in full)

2nd Booth, $450, with early bird fee of $425 (if rec’d by May 31, 2014 and paid in full)

Exposition Hours:

Set Up: Wednesday, October 8rd, 8:00 AM – 12:00 NOON

Expo: Wednesday, October 8rd, 1:00 PM – 4:00 PM

Booth consists of: 

  • One (1) exhibitor signage
  • One (1) 6’ skirted table, 6’ x 30”, 2 chairs, 1 wastebasket
  • Tables are open; there will be no pipe and drape separation.
  • Any custom booth display MUST fit within the 8’ x 8’ spaces.
  • Wireless Internet is included in booth fee.

 

Participating vendors are also invited to our “Welcome Reception” to be held in the lobby area of the Hilton Garden Inn from 5:00 PM to 7:00 PM following the Vendor Expo to meet with delegates in attendance. 

Note:  Electrical hook-ups are at an additional charge of $35.00 per connection.  Electrical requirements must be noted at the time of registration and will be furnished through the Hilton Garden Inn.

DOOR PRIZES ARE ENCOURAGED:   Every delegate will be given the opportunity to register for door prizes from Exhibitors and KCRPE.  Delegates must be present to win at the conclusion of the event at 4:00 PM.

“Punch cards” will be issued to all delegates with each booth identified. It will be the responsibility of the vendors to sign, initial or mark the cards as delegates stop at each booth. Only the delegates with completed cards will be eligible for drawings. 

If you have anything that you would like to donate as prizes for our delegates, please complete the online Door Prize Donation Form found at www.macpp.org.

Vendors may also hold drawings in their booth at the conclusion of the event at 4:00 PM for delegates by obtaining delegate business cards in their respective booths.

BOOTH SELECTION:   Booth selection will be mapped out on a “first come, first served” basis.  Those suppliers that are set up for use on a national cooperative contract such as U. S. Communities, National IPA, NJPA, or NASPO will have special cooperative signage.  

NOTE:  It is wise to register early as we always sell out the booths in advance.         There are only 96 total booths available.

SOCIAL EVENT NIGHT:  Vendors may attend and mingle with conference attendees at the KCRPE “Social Event” by The Murder Mystery Company at the Tiffany Ball Room, 7:00 PM, 903 Harrison St., KCMO on Thursday, October 9, 2014.  The cost is $45 per person and will include a 3 course meal and soft drinks.  Please register “on-line” for the event.

The Hilton Garden Inn has requested that any vendor providing food or drink samples be identified in advance. Please describe in the space indicated on the online registration form at www.macpp.org any food or drink samples that you plan to distribute.  

Storage: Please make sure if you are shipping packages to the hotel that they are labeled KCRPE Vendor Expo, October 8, 2014. We suggest that you ship them to arrive no more than three (3) business days prior to your scheduled event. Please have all packages clearly labeled with your name, the name of your event/group, date of your event, and your Event Manager’s name. There will be no storage charge for up to three (3) 25 lb. boxes; however, vendor will need to make arrangements directly with the hotel, (816) 277-0099 for shipments over this limit. Storage for shipped boxes will be based upon space availability. 

Exposition Rules and Regulations: By submitting your online registration, you are agreeing to the 2014 KCRPE rules and regulations as outlined in this document and provided on the event’s webpage found at www.macpp.org. All rules and regulations of the 2014 Kansas City Regional Purchasing Exposition will be accepted by you and made part of the online contract. By registering online at www.macpp.org, you agree to comply with the rules and regulations, taking the space for display purposes under the terms and upon the conditions set forth in said rules and regulations. Cancellations must be made 30 days prior to the Exposition. If you (the Exhibitor) fail to attend the Exposition without said notice, the entire booth cost will still be owed to Kansas City Regional Purchasing Exposition.

Additional Information

Hilton Garden Inn, Independence MO Guest Room Rates:  KCRPE has rooms reserved at the Hilton Garden Inn. A special KCRPE room rate will be provided.  Reservations must be made directly with the hotel. In order to qualify for this rate, you MUST identify yourself as a participant in the Kansas City Regional Purchasing Exposition.
